Leave management software for a small business should keep every leave request, approval and balance on one record. A staff member requests leave in one place, the right person approves it there, the balance updates by itself, and everyone can see who is off. No WhatsApp messages to chase, no spreadsheet to reconcile at month end.

What are small businesses actually looking for?

We probed the terms on Google on 20 October 2026 before writing this. For "leave management software", the first suggestion was "leave management software for small business", followed by "leave management software free". For "leave tracker", most of the suggestions pointed at a template: "leave tracker template", "leave tracker excel template 2026", "leave tracker excel".

Read together, that is a clear picture. Most small businesses track leave in a spreadsheet, and the requests arrive somewhere else entirely: a WhatsApp message to the owner, a note at the front desk, a quick word in the passage. The spreadsheet is only as current as the last time someone copied a message into it.

Why does leave turn into admin in a small business?

  1. Requests arrive in chats. "Can I take Friday off?" lands in a WhatsApp thread between other messages. Nobody else can see it, and it scrolls away by Monday.
  2. Approval is a reply, not a record. A thumbs-up emoji approves the leave. Nothing about it is captured anywhere a manager, a colleague or the person doing payroll can find later.
  3. Balances live in a separate file. Someone has to remember to update the spreadsheet. When they forget, the balance is wrong, and the argument starts at year end.
  4. Nobody can see the calendar. Two people in a three-person team book the same week, because neither knew about the other's request.
  5. Payroll reads it from memory. Unpaid leave and sick days have to reach the payslip, so whoever runs payroll ends up asking around.

None of this is fixed by a better spreadsheet template. It is fixed by putting the request, the approval and the balance in the same place.

What does the law expect the record to hold?

This is not a compliance guide, but the rules explain why a balance has to be right. The Basic Conditions of Employment Act sets the minimums a leave record has to track. Section 20(2) gives an employee at least 21 consecutive days' annual leave on full pay per annual leave cycle, or by agreement one day for every 17 days worked. Section 22 gives paid sick leave equal to six weeks of normal working days over a 36-month cycle, and during the first six months one day for every 26 days worked.

Those are different cycles, accruing at different rates, for every employee. That is exactly the arithmetic a spreadsheet gets wrong when it is updated from chat messages. Our guides to employment contracts and payslip requirements cover where leave terms are written down and where they surface.

How does the Business OS take leave off WhatsApp?

The Business Operating System is a system NexBDM builds around the way work actually moves through your business, with agreed workflows, clear ownership and one source of truth instead of disconnected apps. Leave is one workflow inside it. In practice:

  • One place to ask. Staff request leave on a single form with the dates and the type of leave. The request is captured once, on that employee's record.
  • The right person approves. The approver is notified and approves or declines on the record itself, so the decision and who made it are kept.
  • The balance updates itself. Approving the request adjusts that employee's balance. Nobody retypes it into a separate file.
  • Everyone sees the calendar. Approved leave shows on a shared calendar, so clashes are visible before they are booked.
  • Payroll reads the same record. Whoever runs payroll works from approved leave, not from a scroll back through chats. Our post on payroll automation covers the rest of that month-end chain.

Leave usually starts on day one, so it fits naturally beside employee onboarding: the contract, the start date and the leave entitlement all sit on the same employee record. If you are weighing a template against a proper system, our post on spreadsheet vs database explains where the line usually falls, and our guide to the Business Operating System shows how leave connects to everything else.

What changes for the owner?

Before: leave requests arrive on your phone between customer messages, you approve with a quick reply, and someone has to remember to update the spreadsheet. After: requests arrive in one place, you approve them on the record, the balance is right without anyone touching it, and payroll reads the same answer you do. You stop being the leave register, and you get that time back every week.

Frequently Asked Questions

Is a leave tracker spreadsheet enough for a small business?

It can hold the numbers, but it does not capture the request or the approval. Most errors happen in between, when a request arrives in a chat and someone forgets to copy it into the spreadsheet.

Can staff still request leave from their phones?

Yes. The request form works on a phone. The difference is that the request lands on the employee's record, where the approver and payroll can find it, instead of in one person's chat thread.

How does the balance stay correct?

The balance changes when a request is approved, on the same record. Nobody updates a separate file by hand, so the figure your staff see is the same figure the person running payroll sees.

Does leave management have to be a separate app?

No. In a Business Operating System, leave is one workflow beside onboarding, payroll and the rest of your operations, so staff and managers do not have to log into yet another tool.
